Fleetio Go setup and navigation
Fleetio Go is Fleetio's mobile app for operators. Company access and permissions come only from your employer's Fleetio account. Before any entry, confirm the asset by its unit number and another identifier such as plate, VIN or serial number.
1. Get your login invitation from your employer.
2. Install the official Fleetio Go app from your phone's app store.
3. Sign in with the account your employer set up.
4. Search for the vehicle or equipment by unit number.
5. Confirm a second identifier matches the machine in front of you.
Practice: The decal on your loader reads EQ-118, serial ending 4471.
Vehicle and equipment inspections
The app records an inspection — you still have to physically walk around and check the equipment. Mark what you actually found, add comments and photos for anything failed, and confirm it submitted. The forms you see and what happens after a failed item depend on how your employer set up Fleetio.
1. Select and confirm the asset.
2. Choose the inspection form your employer assigned.
3. Physically inspect each item.
4. Mark results honestly; add comments and photos for failed items.
5. Submit, then confirm it appears as submitted, following the official guide.
Practice: Sample pre-trip on truck T-42: lights OK, brakes OK, left front tire has a visible sidewall bulge.
Reporting defects and issues
A useful defect report names the asset, where it is, the symptoms, includes photos, and is followed by telling your supervisor. Submitting an issue does not make the equipment safe or mean it was fixed. Follow your employer's stop-use procedure and wait for an authorized release.
1. Stop using the equipment if it is unsafe.
2. Confirm the asset in the app.
3. Describe location and symptoms; add photos.
4. Notify your supervisor directly.
5. Do not operate until an authorized person releases it.
Practice: Sample excavator EX-07 has hydraulic fluid dripping from the boom cylinder hose at the yard.
Meter and fuel entries
Maintenance schedules depend on correct odometer miles or hour-meter hours. Read the gauge directly, enter the right unit, and record fuel details and receipts only if you have permission. If you make a mistake, report it through your employer's correction process instead of entering a fake reading to cancel it out.
1. Confirm the asset.
2. Read the odometer or hour meter on the machine.
3. Enter the value and check the unit.
4. Add fuel quantity and receipt if permitted.
5. Report any wrong entry to your supervisor.
Practice: Sample loader EQ-118 hour meter shows 3,412.6. Sample entries: (A) 3,412.6 hours, (B) 3,412.6 miles.
Maintenance and follow-up
Reporting a problem and completing maintenance are different jobs. Service reminders show what is coming due; service history shows what was done; issue status shows whether a reported problem is open or resolved. Only authorized maintenance staff or supervisors complete work orders and release equipment.
1. Check the asset's open issues before use.
2. Look at upcoming service reminders.
3. If you are maintenance or a supervisor, follow your employer's work-order steps.
4. Do not use equipment with an open safety issue until released.
Practice: Sample EX-07 shows an open issue "hydraulic leak" and a note from the mechanic: "hose replaced".
